1. What is a departmental association and what does it do for me?

A department association represents all students taking courses or completing a degree in a given department. Department associations are dependent on the AUS and report to the VP Internal. Department associations throw events for students within their department, including social events like Wine & Cheese’s and academic events like a speaker series. They publish academic journals that showcase the best student work in their departments. They are also important channels of student opinion to AUS Council.

2. How can I get involved in a department association?

Department associations are always looking for volunteers. Contact your department association, show up at one of their meetings, or come to AUS Council and bug your department representative. They’ll find something for you to do, whether its editing their journal, staffing a party, or maintaining a web site.

3. How can I get my work published in a departmental journal?

Departmental journals usually advertise their calls for papers on posters in related buildings around January and in the AUS listserv. If you haven’t seen a call for papers, contact the departmental association. Not all departments publish journals.

4. Why doesn’t my department have a departmental association?

Basically, no one has formed one, yet. Often, this is because there are very few students enrolled in the department. If you want to form a department association for your department, contact the VP Internal.

5. Who funds departmental associations?

Of the $5 we collect from students each semester, we give $2.50 to the departmental association of each students’ first major. Smaller departments get subsidies from AUS’ other funds, and departmental associations often apply for more funds through our Special Projects Fund, Journal Fund, and the Arts Undergraduate Improvement Fund.

Some departmental associations also get subsidies from the departments with which they are associated. Some hold fundraising events, such as bake sales in Leacock Lobby. Others are lucky enough to receive grants from external organisations, such as the Canadian government.

6. How are departmental associations held accountable?

Department associations are responsible to the VP Internal and the VP Finance. They are not allowed to maintain an external bank account without permission of the VP Finance, and must present financial records to the AUS twice per year. Receipts are required to confirm all expenditures. Departments maintaining external bank accounts must also present monthly bank statements and ledgers to the VP Finance.
